Website hosting: When visitors leave comments on the site, we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help with spam detection.

WooCommerce and store extensions: 

Members of our team have access to the information you provide us. For example, both Administrators and Shop Managers can access:

  • Order information like what was purchased, when it was purchased and where it should be sent, and
  • Customer information like your name, email address, and billing and shipping information.

Our team members have access to this information to help fulfill orders, process refunds, and support you.

We share information with third parties who help us provide our orders and store services to you, such as Shippo, USPS, UPS, FedEx. The only information that is shared is what is required to ship your order to you.

WooCommerce Back In Stock Notifications

This plugin stores the following information when customers sign up to receive back-in-stock notifications:

  • Customer e-mail.
  • Sign-up date.
  • Notification date.

This information can be used to personally identify customers and is stored in the database indefinitely.

WooCommerce Gift Cards:

This plugin stores the following information, as provided by gift card buyers:

  • Sender name.
  • Recipient name.
  • Recipient email.
  • Message from sender to recipient.

This information can be used to personally identify the sender and recipient(s), and is stored indefinitely.

Full access to all gift card data is restricted to Store Administrators only. Store Managers may view and search by sender, recipient and gift card code. However, gift card messages cannot be viewed by Store Managers.

WooCommerce Product Recommendations

This plugin uses cookies to track the following visitor activity:

  • Viewed products.
  • Viewed recommendations.
  • Clicked products in recommendations.

The extension also stores aggregate information based on the recommendations that visitors view and click while browsing your site. This information cannot be used to personally identify any visitor.

WooCommerce Product Bundles

This plugin does not collect, store, or share any personal data.

AutomateWoo

If you opt in to receive marketing updates, we may use your personal information to provide you with product updates or marketing communications that we believe may be of interest to you. Personal data may also be used by our internal system to automate processes of our store.

We store your communication preferences such as whether you have opted in to receive marketing communications. This data is retained until you request the removal of your data.

Zapier for WooCommerce

This website utilizes Zaps to move data from one application to another when necessary to perform a function that will benefit the overall process:

  • Nicole Nation member email and first name are transferred to MailerLite for newsletter groups.
  • Nicole Nation member email and first name are transferred to Google Sheets for tracking.

Shippo
Shippo is a third-party shipping and fulfillment service provider. We share customer data with them to process and fulfill orders.
Information That is Shared: 
  • Contact Information: Customer name, shipping address, email address, and phone number.
  • Order Details: Order numbers, items purchased, quantities, and package weights/dimensions.
  • Shippo shares this information with underlying carriers (like USPS, UPS, or DHL) to complete the physical delivery.
Why the Data is Shared 
  • To generate shipping labels and customs forms.
  • To validate shipping addresses.
  • To provide tracking updates and shipping confirmation emails to buyers.

This site uses MailerSend as a third-party email delivery and processing provider.

We share recipient information such as email addresses, names, phone numbers, IP addresses, and interaction data (such as email opens and clicks) with MailerSend in order to provide email communication related to transactional purchases.

This data is shared to send operational notifications, transactional messages, or email campaigns, and to track email deliverability and engagement analytics.

MailerSend processes data under its own security standards and complies with frameworks like GDPR.

  • MemberPress collects information about you during the signup process as well as some basic activities such as the dates you make purchases, login to the site, or cancel/pause/resume your subscriptions with us.

When you subscribe with us, we’ll ask you to provide an email address. We’ll use this information for purposes such as:

  • Send you information about your account and subscriptions. This may include payment receipts, password reset emails, and payment reminders.
  • Create your membership account

We store information about you for as long as your account exists.

Members of our team have access to the information you provide us. For example, site Owner/Administrators can access:

  • Order information such as your membership subscriptions, payment dates and amounts, and username/email address.
  • Any additional information added in your Member Profile can also be visible to the Administrator(s).

We share information with third parties who help us provide additional contact services to you; for example, MailerLite provides email services. 

RafflePress: 

For giveaways run on this site, we connect RafflePress data to external email marketing services (MailerLite) and may utilize automation platforms via Zapier 

Types of Data Collected:

  • Names and email addresses entered to join the giveaway or verify entries.
  • IP addresses used for fraud prevention and entry limits.
  • Social network IDs or profile data if you enable Facebook or other social logins.
  • Tracking data if you use integrated pixels (like Google Analytics, Meta, or TikTok pixels) within RafflePress.

Purpose of Collection:

  • To run, administer, and pick random winners for the contest.
  • To prevent spam, bot entries, and duplicate signups via fraud detection tools like reCAPTCHA.
  • To send marketing or newsletter emails only if the participant explicitly opted in via a consent checkbox.

 

Buy Me a Coffee: 

Credit card processing for Buy Me a Coffee is handled by Stripe, which collects financial data, card types, expiration dates, and billing details.

Buy Me a Coffee shares supporter names, email addresses (if provided), support frequency, support levels, and attached messages with the creator.

Platform Analytics: Information regarding the interaction with widgets, buttons, or embedded links on your site.

I use Buy Me a Coffee and Stripe to process financial transactions.

When users donate or buy a coffee, their transaction data and messages are processed by these external platforms according to their respective privacy terms.

Import/Export for WooCommerce: 

Store administrators may use import/export tools to process, migrate, or back up store data, which can include personal data such as customer names, email addresses, billing/shipping addresses, and order histories.

This data processing is done for legitimate administrative interests—such as store migration, platform backups, data analysis, or synchronizing information with external systems (like a CRM or fulfillment service).

Exported files (CSV, XML, XLS) containing personal information are generated and transferred securely via FTP/SFTP.

Downloaded export files containing sensitive user data are protected with restricted admin access and are securely deleted or stored in compliance with your general data retention schedule.

Jetpack: 

Jetpack syncs site content, settings, configuration data, and site activity back to Automattic’s servers to enable features, notifications, and content management.

Because this site utilizes accounts, Jetpack captures user email addresses, user roles, logins, display names, WordPress.com user IDs, IP addresses, and timestamps for site management and activity logging.

This site utilizes search and analytics, which track visitor metrics, IP addresses, user agents, and set tracking cookies (such as anonymous identifiers).

WooCommerce Product Recommendations:

We store aggregate information based on the recommendations you view and click while browsing our site. This information cannot be used to personally identify you.

MyWorks for WooCommerce:

MyWorks Software and Intuit (QuickBooks Online) are third-party data processors/service providers that help operate our business accounting. The data is automatically synced to process orders, manage inventory, maintain financial records, and comply with tax laws. Data is transferred via secure API connections and encrypted during transit.

What data is used:

  • Names, billing/shipping addresses, email addresses, and phone numbers.
  • Transaction information: Order histories, invoices, purchase amounts, tax details, and shipping costs.
  • Payment methods and gateway references
    • Secure payment tokens or raw credit card numbers are handled directly by payment processors and Intuit/QuickBooks. They are not stored by MyWorks.

WPC Product Recommendations, WPC Smart Wishlist:

We use these plugins to provide customers with targeted information related to products they are interested in. Data used by these plugins:

  • Information regarding products viewed, clicked, or searched on your site (co-view and co-purchase tracking algorithms).T
  • Purchase history used to determine frequently bought together items or order-based recommendations.

Akismet, an Anti-spam service, collects information about visitors who comment on this site. The information collected typically includes the commenter’s IP address, user agent, referrer, and Site URL (along with other information directly provided by the commenter such as their name, username, email address, and the comment itself).

WP Forms

  • Fields tracked through WP Forms include: email address, name, and information provided directly by the submitter.
  • Cookies & UUIDs: Unique identifiers assigned to visitors for features like form abandonment or entry tracking.

The form data goes:

  • Form entries are saved directly to our WordPress website’s database
  • Form submissions are sent to the site’s administrative email address.

NotificationX Pro

  • Names, purchase times, comments, or review details submitted via forms, checkouts, or comments are captured to display real-time notification popups.
  • The plugin interacts with the Google Analytics API (Universal Analytics and GA4) to query property stats directly from your site.
  • The plugin uses cookies or local storage to manage notification frequency, visitor consent, and cookie preference settings.

Payments are processed by third-party payment providers. We receive information needed to confirm and manage the transaction, but we do not directly receive or store complete payment-card numbers. 

Information shared with a payment provider typically includes:

  • City/State/ZIP
  • Unique payment identifier

7. Cookies and similar technologies

Account and login cookies:

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

AutomateWoo: We use cookies to remember who you are when browsing our site and to store the contents of your cart for the purpose of reminding you. These cookies will only be set when you consent to allowing additional cookies on our website.

  • wp_automatewoo_visitor – Used to store a secure key that is unique to you – Expires after 2 years
  • wp_automatewoo_session_started – Used to flag when you begin interacting with our website – Expires when you end the browser session
  • automatewoo_do_cart_update – Used to store flag when your stored cart needs to be updated – Expires when you end the browser session

 

WP Fusion: Auto-Login and Activity Tracking: cookies or tracking scripts are used to monitor page views, identify visitors via auto-login links, and apply tags/segments based on user behavior on this site.

8. Retention

We retain order records for seven years after the transaction to support tax, accounting, fraud-prevention, and legal obligations.

  • WooCommerce (Naughty & Nice Shop) data:

    When you purchase from us, we’ll ask you to provide information including your name, billing address, shipping address, email address, phone number, credit card/payment details and optional account information like username and password. We’ll use this information for purposes, such as, to:

    • Send you information about your account and order
    • Respond to your requests, including refunds and complaints
    • Process payments and prevent fraud
    • Set up your account for our store
    • Comply with any legal obligations we have, such as calculating taxes
    • Improve our store offerings
    • Send you marketing messages, if you choose to receive them

    If you create an account, we will store your name, address, email and phone number, which will be used to populate the checkout for future orders.

    We generally store information about you for as long as we need the information for the purposes for which we collect and use it, and we are not legally required to continue to keep it. For example, we will store order information for XXX years for tax and accounting purposes. This includes your name, email address and billing and shipping addresses.

    We will also store comments or reviews, if you choose to leave them.

    We store a copy of your cart in our database for 60 days for the purpose of reminding you when your cart is abandoned.
  • Member accounts:

    If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

    For users who register on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

  • Giveaway entries: Occasionally, our site may request information via surveys or contests. Participation in these surveys or contests is completely voluntary, and you may choose whether or not to participate and therefore disclose this information. Information requested may include contact information (such as name and shipping address) and demographic information (such as zip code, age level).
